ERP Application software comes in many shapes and flavors. ERP (Enterprise Resource Planning) was originally designed for large international type businesses. As the technology was perfected, the ability to apply ERP techniques to small and medium-sized businesses became an affordable strategy for many businesses.

In 1995, The Standish Group published the benchmark “Chaos Report”:

  • The report found that companies canceled 31% of their ERP projects before completion
  • Small and mid-sized organizations fared better than large organizations which only completed 9% of their ERP projects on time and on budget
  • Organizations that did complete their ERP project drastically reduced scope and implemented only 41% of their targeted functionality
  • The 2009 “Chaos Report” shows only 32% of ERP application software projects were successful.

    “The biggest single reason for ERP application software failure is pretty clear – it is the improper preparation of the organization,” according to family business ERP expert Mike Roman.

    “Family businesses that are accustomed to being managed in a loosely organized manner are going to have a tough time adapting the ERP technology - because so much of the basic operational data has not been properly 'documented and improved' PRIOR to implementing ERP technology.”

    “Not having a well organized organization is probably one of the major reasons family businesses fail to grow – and in many cases, even survive,” observes Schwerzler.

    As part of the ERP application software selection process, Mike Roman recommends family businesses research how well other family businesses, in their industry, have fared with a particular ERP application. Ask the vendor to provide those references. Some of the questions to ask:

  • When did you implement the software?
  • What modules are you using?
  • How long did it take from start to finish?
  • Who performed the implementation?
  • What concerns did you have during the implementation?
  • What would you do differently?
  • Are you satisfied with the product?
  • What problems have you had with the product?
  • How quick is the response from the help desk?
  • How often are bug fixes distributed?
  • What defines a critical issue?
  • What is the procedure for addressing critical issues?

    Unfortunately for many family businesses, the selection of ERP software is being made or influenced by in-house IT people who may not have any knowledge or “hands on” experience with the ERP software best suited for the business!

    Decisions are often made in terms of what might be the “easy way” rather than basing the decision on what ERP application software best meets the current and future needs of the family's business.

    ERP software selection should be developed by the entire organization, not just one or two department heads.

    It makes little sense to have a sophisticated ERP application in one department – and ignore the needs of the rest of the organization. Systemization is a crucial process for every element of a successful family business.
